Guide 01-Applying For a Work Permit Outside China

*This is not a legal document. The explanations and definitions are not legal definitions. In case of a discrepancy between the language in this document and the relevant legislation or regulations, the legal text in the legislation and regulations prevails.

*There are 5 steps to get a work permit and a residence permit in China: Permit notice- Visa- Entry- Work permit- Residence permit

Step 1: Apply for a Permit Notice

1. Application Form (see annex I)

· The name should be exactly the same as it appears on the passport.

· The form should be filled out in Chinese, except for the name.

2. Proof of eligibility (for example: a recommendation letter from a former boss or past work experience outlined in a resume)

3. Highest diploma and its authentication(see annex II)

· The diploma must be authenticated by the Chinese embassy or consulate-general either in the applicant’s country or in the country where the applicant got his/her diploma, or do it yourself online . http://zwfw.cscse.edu.cn

4. Non-criminal record report (see annex III)

· The non-criminal record report should be issued by the local public security authority in his/her country or the habitual residence where he/she has lived over one consecutive year. The report should be authenticated by the Chinese embassy or consulate-general in the country within 6 months prior to the submission date of application.

· The non-criminal record report issued by the local public security authority at Hongkong, Macau, and Taiwan should be authenticated by the local notary office.

5. Physical Examination Reportthe physical examination report issued by an overseas health and medical institution accepted by China Inspection and Quarantine Institutions (see annex IV)

· Please check the list of overseas health and medical institutions accepted by China Inspection and Quarantine Institutions on the website of local diplomatic or consular missions.

· Please select an appropriate time to take the physical examination as the result is valid for only 6 months.

6. Employment Contract (see annex V)

· The contract in Chinese shall be provided, the Applicant shall sign on it and affix on it the official seal of Nanjing Normal University.

· Note: Employment contract shall include the essential content such as working place, job description, pay, working period in China, position and the seal /signature page.

7. Passport(or international travel documents)

· The applicant shall submit a clear scanned copy of his/her private passport (or international travel documents) with validity no later than 6 months. If the validity of the current passport does not meet the requirement, please apply for a new passport before submitting the application.

8. Electronic ID Photo

· Bareheaded and full-faced photo of the applicant taken within the past six months, with white background, frameless, complete facial features, no spots or flaws, in JPG format, with size 40K-120K bytes, resolution no lower than 354(W)*472(H) pixel but no higher than 420(W)*560(H) pixel, and 24-bit true color.

· Note: If the applicant has to wear a hat or headscarf for religious reasons, make sure it does not cover the entire face.

9. Documents of Accompanying Dependents

· Information pages on accompanying dependents' passports (or international travel documents)

· Certifying materials for family relationship

i. Spouse - Marriage Certificate;

ii. children - Birth Certificate or Adoption Certificate;

iii. parents or parents-in-law - the Applicant's Birth Certificate or Marriage Certificate or related notarial certificates.

· Physical examination report (as in No. 5)

· Electronic ID photo (as in No. 8)

· Accompanying dependents include spouse, children under the age of 18, parents and parents-in-law (except for Chinese family members).

Note: All non-Chinese certification materials submitted shall be translated in Chinese. The translation should be verified and sealed by the school or department at Nanjing Normal University.

Step 2: Apply for a Visa

· The applicant should apply for a visa no less than 90 days when he/she gets the permit notice.

Step 3: Enter China

· Bring hardcopy materials: Bring all the hardcopy materials in the documents checklist for review when entering China.

· Upon arrival, fill out the Accommodation Registration Form on the Wechat Offical Account “南京公安“ .

o Search “南京公安“on the Wechat

o Press “关注“to follow the offical account

o Press “微服务“at the center of the bottom line

o Press “出入境“ , the second category at the third line

o Press“境外人员临时住宿登记“, on the right of the second bottom line. From there on, fill out the form as instructed.

· Note: The accomodation registration can be done for you at hotels, but you must do it yourself if you move into an apartment.

Step 4: Apply for the Work Permit

· Register at the university: The applicant shall, within 10 days after entry (excluding the quarantine time due to the pandemic), register at the university with the following documents.

1. The hardcopy of all the original documents submitted before. The contract should be updated with the handwritten signature of the applicant.

2. Physical Examination Report done in China

· The International Office will help apply for the Work Permit.

· Those who have received the permit notice but have not accomplish the corresponding application should cancel the previous permit notice before reapplication.

Step 5: Apply for the Residence Permit


· Apply for a residence permit at the Local Public Security Bureau within 30 days upon arrival.

· Required documents: passport, Work Permit, verified health report, the Accommodation Registration Form, and a photo that meets the image requirements of the authority. Staying without registration is illegal and will lead to fines.
